📩 HubSpot is breaking your unsubscribes
Your newsletter is not the unsubscribe problem

If Postmaster Tools is showing "Needs work" next to Honor unsubscribe, your newsletter platform probably is not the problem.
You checked it. The one-click header is there. Unsubscribes process instantly. Everything on the newsletter side looks clean, and the status still will not flip.
Here is the thing.
In almost every case I have looked at, the cause is a second system sending email from the same domain.
Your newsletter goes out through beehiiv. Your automations, sales outreach or onboarding go out through HubSpot.
Same domain, two lists, and neither one knows who unsubscribed from the other.

Google grades your domain, not your platform
Think about what Google can actually see.
It cannot log into beehiiv or HubSpot and check your suppression list.
What it sees is a Gmail user hit unsubscribe on your email, and then whether more of your email kept showing up in that inbox afterward.
That is the whole test.
Google's rule is that once someone unsubscribes, they are off the list within 48 hours. And it counts the unsubscribe whether or not your servers ever received the request.
If someone tapped the button and mail kept coming, that is on you.
Now here is the part that catches people.
Google measures this per domain.
So your newsletter, your HubSpot automations, your sales sequences and your onboarding emails all get graded together if they come from the same domain.
One sloppy system drags the whole domain to "Needs work."
Two systems, one domain, nobody talking
Here is how it plays out.
A subscriber is on your newsletter in beehiiv.
They are also in HubSpot, because they downloaded a guide, booked a demo, or got pulled into a sales sequence. Both systems send from your-domain(dot)com.
They get tired of hearing from you and hit unsubscribe in Gmail on the newsletter.
beehiiv removes them right away.
Perfect.
Two days later, HubSpot sends them a nurture email from the same domain, often from the same person's name.
HubSpot has no idea they unsubscribed, because the unsubscribe never left beehiiv.
From where Gmail sits, that person told you to quit, and you did not.
Google does let you run separate lists.
Its guidance is that each mailing list should have its own List-ID or its own From address, so an unsubscribe only takes someone off the list it came from.
But most setups I see do not separate them cleanly.
Same From address, no distinct List-ID, and the reader cannot tell the difference between your newsletter and your outreach.
Neither can Gmail.
And moving HubSpot to a subdomain does not hide it. Subdomain data still counts toward the primary domain.

The next button they hit is spam
It is easy to treat "Needs work" as a compliance checkbox.
It is not.
It is a preview of your next complaint.
Think about the person on the other end.
They unsubscribed. Your email showed up anyway.
They are not going to look for the unsubscribe link a second time.
They are going to hit spam.
That complaint does not land on HubSpot.
It lands on your domain, the same one your newsletter is sending from.
So the outreach sequence nobody was watching is now dragging down inbox placement for the newsletter that actually makes you money.
I have rebuilt a domain's reputation from the ground up before. It took the better part of a year.
A sync between two systems takes an afternoon.
Find every system sending as you
Start Monday by listing everything that sends email from your domain.
Not just the newsletter.
Your CRM, your sales tool, your billing system, your webinar platform, your onboarding sequences.
If you are not sure, your DMARC reports will show you every source sending under your domain, including the ones nobody remembers setting up.
Then fix it in this order:
Sync unsubscribes between systems. An unsubscribe in beehiiv should suppress that person in HubSpot, and the other way around. Use an integration or a scheduled sync, but do not rely on someone remembering to export a CSV.
Separate your mail streams. Give your newsletter and your outreach their own From address and their own List-ID, so an unsubscribe from one is clearly scoped to that list.
Check headers everywhere. Every system sending marketing email needs one-click unsubscribe, not just your newsletter platform.
Then give it time and watch the status.
It can take a week or two to flip to compliant.
If it does not flip, there is still a system out there you have not found.
Run the DMARC check, then reply with how many systems you found sending from your domain. I want to know how many of you turn up one you forgot existed.
